Pittsburgh area investment services group is in need of a Client Service Associate
Responsibilities to include:
• Complete all forms correctly and submit them within one business day
• Work directly with the advisor to prepare for client meetings
• Transfer funds from various accounts at the direction of the client or advisor
• Track pending business paperwork, follow up with clients when necessary, and coordinate with appropriate companies to ensure completion
• Handle phone calls from clients, when appropriate; transfer calls to advisor, when required; return all client calls before you leave the office for the day
• Anticipate advisor and client needs and handle them proactively
• Scan and electronically file client statements, correspondence, and agreements so that all client filing is completed within five business days
• Provide coverage for receptionist (i.e. answer phones, accept deliveries, distribute mail, etc.) as needed
• Act as back up for other assistants when necessary (i.e. absence, workflow, etc.)
• Utilize Charles Schwab’s services efficiently
• Enter and maintain accurate client information, as well as task documentation in CRM system
• Use excellent customer service skills to build and maintain client relationships
• Contribute to the appearance of the office (i.e. tidiness)
• Make suggestions to systematize and improve office functions
• Adhere to all compliance policies and procedures
• Other relevant duties as assigned
Requirements:
• BA/BS degree, preferable in finance, accounting or related field
• Five years’ experience in an administrative role or three years’ experience in financial services; experience working with Charles Schwab processes and forms a plus
• Strong work ethic; honesty and integrity
• Superior organizational and customer service skills
• Proficiency with computer programs, including MS Word, Excel, PowerPoint and Outlook; prior Wealthbox experience a plus
• Ability to efficiently prioritize workload and meet deadlines
• Ability to work independently and differentiate between matters that should be handled alone versus those that require advisor/supervisor assistance
• Ability to identify and solve problems proactively
• Proofreading (or quality assurance) skills to ensure that own work is in accordance with Firm criteria
• Ability to maintain attention to detail while under pressure, as well as to view details in the overall context of the clients’ circumstances
