Pittsburgh investment services company in need of an Administrative Associate. The selected candidate will provide direct support to financial advisor.

Responsibilities to include:                     

·        Complete all forms correctly and submit them within one business day

·        Prepare all documentation and files needed for client meetings

·        Transfer funds from various accounts as directed

·        Track pending business paperwork, follow up with clients when necessary, and coordinate with appropriate companies to ensure completion

·        Manage/transfer phone calls from clients to advisor

·        Scan and electronically file client statements, correspondence, and agreements

·        Provide backup coverage for receptionist as needed

·        Support other assistants when necessary

·        Enter and maintain accurate client information and task documentation in CRM system

·        Make suggestions to systematize and improve office functions

·        Other relevant duties as assigned

Requirements:

·        Bachelor’s degree (finance, accounting or related field preferred)

·        5+ years’ experience in an administrative role (within financial/accounting industry a plus)

·        Strong work ethic; honesty and integrity

·        Superior organizational and customer service skills

·        Proficient MSOffice skills; Wealthbox software experience a plus

·        Excellent time management skills with the ability to meet deadlines

·        Ability to work both independently and as a team player

·        Strong and proactive problem-solving skills

·        Ability to manage confidential information in a professional and discreet manner

NOTE:  Hybrid schedule is available after suitable training period has been completed.
