Pittsburgh company is seeking an experienced Office Administrator.  The selected candidate will provide administrative and operational support to senior staff and employees.


  • Administrative support to the CEO, including scheduling meetings; providing office management support; drafting meeting minutes; filing documents; sorting office mail; and providing coordination support for various meetings and events
  • Preparation, proofing, editing, and creation of correspondence, PowerPoint presentations, meeting and grant reports, and other documents
  • Management and use of databases including data entry (Salesforce and Excel)
    Support bill payment, invoicing, bank deposits, expense management and filing
  • General on-boarding of staff and contractors
  • Liaison with all outside vendors
  • Payroll management, including timesheet entry and expense allocation
  • Benefits coordination, including enrollment and liaising with benefits broker
  • Oversight and maintenance of office inventory and general supplies
  • Management of the office calendar and the CEO’s calendar
  • Answering and screening of general office phone calls and of the general information email account
  • Administration and coordination support to leadership team
  • Generation and dissemination of reports, as directed
  • Administrative support of programs and various initiatives


  • Exceptional organizational and planning skills with strong attention to detail
  • Proficiency with online scheduling (Zoom and Microsoft Teams, for example), Microsoft Office Suite including Microsoft Outlook and Teams, and Paychex or a similar payroll system
  • Strong writing and oral presentation skills
  • Experience and ease with coordinating and hosting events
  • Exceptional interpersonal skills
  • Working knowledge of QuickBooks and Salesforce is desirable but not required
  • Working knowledge of Social Media outlets including Facebook, Twitter, LinkedIn, and WordPress
  • NOTE:  At least five years of experience providing administrative support to senior management staff and two years of basic fiscal and payroll management.  Associate degree required.  Bachelor’s degree preferred.
