Downtown professional services group is in need of an experienced Office Administrator.
Duties to include:
· Maintain positive, welcoming attitude in greeting all clients and guests.
· Answer incoming phone calls, direct to appropriate staff members or voicemail.
· Review all calendars for staff availability and parking requests; schedule valets as needed.
· Schedule conference rooms upon request.
· Maintain the appearance of conference rooms, lobby, and waiting area.
· Receive and sign for deliveries. Distribute outgoing mail. Schedule UPS Smart Pickups.
· Order office equipment and supplies. Stock supplies appropriately.
· Provide support for office equipment. Contact vendors to troubleshoot issues.
· Schedule building maintenance requests.
· Provide administrative support to Executive Team as requested.
Requirements:
· Associate or Bachelor degree preferred, High School Diploma or GED required.
· Must show initiative and have an ability to work within an environment of frequent
interruptions and conflicting priorities.
· Able to observe strict confidentiality in all aspects of services provided.
· Strong computer skills with knowledge of Microsoft Word and Excel.
· Excellence in time management, attention to detail, and ability to learn quickly.
· Strong entrepreneurial drive, work ethic, and communication skills.
· Professional, positive, and energetic attitude.
· Excellent verbal and written communication skills.
· Experience with Salesforce or another CRM system a plus.
