Downtown Pittsburgh group is in need of Front Office/Administrative Assistant. The selected candidate will be responsible for answering incoming calls, directing calls to appropriate associates, data entry in our systems, processing expense reports, coding invoices and a variety of related office support duties

Duties to include:

·         Answers telephones and directs the caller to the appropriate associate.

·         Greets and directs visitors for the company.

·         Scan documents, index files and enter data into our case tracking system.

·         Quality control of data and scanned documents to ensure accurate and proper filing.

·         Receives, sorts, and forwards incoming and outgoing mail.

·         Coordinates the pick-up and delivery of express mail services

·         Assists with other related clerical duties

·         Assists and may produce quotes/illustrations for new cases

·         Processes necessary expense reports.

·         Assists in processing accounts payable and receivable

·         Writing reports, letters, and emails.

·         Assists in the ordering, receiving, stocking and distribution of office supplies.

·         Making travel arrangements and schedule meetings.

·         May be called upon to assist with special projects.

Requirements:

·         Detail oriented, highly organized, and ability to multi- task

·         Confidentiality and a high degree of professionalism

·         Excellent oral and written communication skills

·         Customer/Client Focus.

·         Proficient MSOffice skills

·         Bilingual Spanish speaking, preferred not required
